Notices on the Graduation Procedure and the Submission of Theses/Dissertations


Before you start:
⓪ Please return the borrowed materials and pay the late fees.
⓪ For patrons who applied for Interlibrary Loan Service, please make sure the borrowed materials have been returned, all fees have been paid, and applied copies have been collected.
Students intending to graduate must complete the library procedures described below:

Undergraduate Students
◎By phone: If all the library materials you borrowed have been returned and the late fees have been paid, you may call the Circulation Desks to complete the procedure. There will be "已結清(complete)" appeared in the field of the library section when you sign in to "畢業生離校檢核系統(graduation activation system)" later.
◎In person: Please sign in to "畢業生離校檢核系統(graduation activation system)" and print out the departure procedure form. There will be "未結清(incomplete)" appeared in the field of the library section, and you may bring the form to the Circulation Desks in Main Library or other branch libraries such as Social Science Library, Commerce Library or Communication Library to complete the procedure.

Graduate Students
◎Upload the PDF file and submit two copies of hardbound thesis
(I)Upload the PDF file
1. Convert the thesis into a PDF file and add the watermark and security configuration.
2. Log on to ETDs, input the basic information of thesis and upload the PDF file.
3. Authorization
(1) Once the thesis is passed after the officiating examiner's evaluation and sent to the library, it will be considered as the library's record, thereby changing and replacing of the record is disallowed.
(2) For the matter of authorization, once the authorization is granted to the library, any further alteration is disallowed.
(II) Bound the thesis
1. Once the file is completed, it will be taking three working days for the Library to verify the accuracy.
2.An e-mail approval notification will be automatically sent to the applicant's e-mail address.
3. Print out the Authorization Form and bound into the thesis.
4.Notice:
(1)Each copy of the thesis should include :Title page、Authorization Form、Committee Signature Page、Table of Contents、Abstract、Main body 、References.
(2)Title page: School、Department 、Title、 Advisor、 Author name、Graduation year
(3)Paper back: School、Department、Title、Author name、Graduation year

(III) Print out the Approval Notification and submit it to the Libraries with two hardback copies. The Notification is not necessarily to be bound in the printed version. However, it is a must when processing the leaving procedure to prove all the required steps has been full-filled.
◎Submit theses/ dissertations and complete the library procedure
Please sign in to "畢業生離校檢核系統(graduation activation system)" first and print out the departure procedure form. Then you may bring the form, "已審核通過通知單(Letter of Notification)", and two hard-covered copies of your theses/ dissertations to the Circulation Desks in Main Library or other branch libraries such as Social Science Library, Commerce Library or Communication Library to complete the procedure.

Note:
⓪The privileges of borrowing materials and accessing e-resources will be cancelled after finishing the graduation procedures. Please apply for one-day guest card if you need to enter the NCCU Libraries afterwards.
